How to build a cut flower succession calendar
Build a cut flower succession calendar from sales weeks, crop timing, harvest duration, temperature tolerance, nursery capacity, bed turnover, and field records.

A succession calendar joins four schedules that are often kept apart: sales, nursery, field, and harvest. If any one is missing, the plan can ask for seedlings before shelf space opens, a bed before the previous crop ends, or more stems than the crew can cut.
The method below works in a spreadsheet or on a large paper chart. Use weekly columns for overview and dated task rows for execution.
Step 1: mark committed sales weeks
Enter subscriptions, events, standing florist orders, and market dates. For each week, state the product and target volume. Separate firm commitments from hoped-for sales.

The stem equivalent need not be exact at first. Its purpose is to stop one order from consuming flowers assigned elsewhere.
Step 2: assign crop roles
Choose focal flowers, supporting forms, spikes, fillers, and foliage for each product. Set a minimum acceptable substitution. A calendar that lists "flowers" cannot explain whether the missing item is color, form, volume, or stem strength.
Keep a small uncommitted buffer for weather and culls. Do not promise the entire forecast yield.
Step 3: enter timing fields
For each crop and cultivar, add:
- propagation method;
- nursery weeks;
- hardening days;
- field establishment allowance;
- days from direct sowing or transplant to first cut;
- normal high-quality harvest duration;
- temperature and day-length sensitivity;
- protection setting; and
- expected marketable stems per bed foot.
Use a range, not one false-precision number, when records vary.
Step 4: work backward
Begin with the target first-cut week. Subtract field growth time, establishment allowance, hardening, and nursery time. The result is the sowing week. The propagation guide's backward schedule fills in nursery and hardening spans crop by crop.
For a direct-seeded crop, subtract emergence and field growth together from the target. State whether the catalog's maturity number starts at sowing or transplanting.
University of Minnesota Extension's crop and field planning tools demonstrate how planting date, field duration, days to maturity, harvest window, and frost tolerance fit into succession planning. Flower values must come from flower guidance and farm records, but the scheduling logic is the same.
Step 5: set planting intervals
Do not copy one interval down the whole sheet. Estimate the next planting from the prior planting's expected high-quality harvest duration. A one-cut crop needs a tighter replacement rhythm than a branching crop that produces for weeks.
Use cultivar staggering where early and late selections have documented behavior. For crops strongly affected by temperature or day length, expect intervals to change through the year.
Step 6: add the fall slowdown
Late plantings often need more calendar time than the stated maturity estimate because temperatures and light decline. Add a crop- and region-informed buffer. University of New Hampshire Extension's guide to fall vegetable planting builds its sowing dates from the expected first freeze and days to maturity; the same arithmetic, run with flower-specific data, sets a defensible late-season cutoff. Set the last useful planting date by working backward from the end of saleable growth, not merely the average frost.
If a crop can survive but will not lengthen stems or open buds, survival does not justify the planting.
Step 7: overlay nursery capacity
Convert every transplant lot into tray-weeks. Graph total shelf use by week and include potting-on space. Flag any week beyond safe capacity. Resolve peaks by changing sowing dates, cell size, crop method, purchased plugs, or crop list.
Do not assume hardened trays disappear from the nursery. Poor field weather may bring them back under cover.
Step 8: overlay bed occupancy
Mark bed preparation, planting, harvest, crop removal, cleanup, and turnaround. A bed is not free on the last harvest day if roots, support, mulch, and irrigation must be removed or reset.
Include cover crops and permanent perennials. Check crop-family rotation where disease or pest history makes it relevant.
Step 9: overlay harvest labor
Estimate peak stems per day and hours to cut, condition, bunch, pack, and deliver. Several well-spaced plantings can still peak together in warm weather. Build a capacity warning into the calendar.
Move or reduce plantings that exceed clean buckets, cooler space, or sales outlets.
Step 10: create task views
From the master sheet, generate weekly lists:
- seed and sow;
- pot on and harden;
- prepare and plant beds;
- install or remove protection;
- scout and irrigate;
- harvest and sell; and
- remove and reset crops.
Assign an owner and completion field. A calendar becomes operational only when tasks can be checked.
Step 11: enter actual dates
For each succession, record sowing, emergence, planting, first cut, peak, last economic cut, and removal. Add marketable stems and cull reasons. At season's end, compare planned versus actual intervals by planting month.
Next year's schedule should use those local results, with the original assumptions preserved for comparison.
Common questions
Should the calendar use dates or week numbers?
Use both: weeks for capacity and dated tasks for execution. The format should match how the crew works.
How much weather buffer should be added?
Use local records and crop response. There is no safe universal percentage, especially for late-season light and temperature.
Can one bed hold several successions at once?
Yes, if blocks are clearly mapped and irrigation, support, and harvest access remain workable. Small fragments can raise labor and labeling risk.
What if actual flowering is early?
Record the deviation, check weather and crop stage, revise later planting estimates where possible, and adjust sales or harvest plans rather than hiding the result.
